The Privacy Commissioner is recommending that Memorial University create a “clear and enforceable policy” requiring all MUN employees and officials to use a Memorial University email account for university business.
The recommendation comes as the result of a recent access to information request.
The university had received an access request for certain email records sent by a senior university official. MUN in tern responded that the official had used his personal email account and that a search failed to locate any responsive records.
That person then filed a complaint with the Privacy Commissioner’s office which concluded that the university had conducted a reasonable search for records and that the failure to locate any records was reasonable.
The Commissioner did offer a recommendation however that Memorial create a policy requiring all employees and officials to use Memorial University email accounts, and not personal emails, for university business.
